Copilot does not grant new access. It makes existing access dramatically easier to exercise, which is why the preparation work matters more than the rollout itself.
Fix permissions first
Audit sharing links, site permissions and legacy groups before enabling anything. Documents that were technically accessible but practically hard to find become instantly discoverable once a search assistant is involved.
Sensitive content needs labels
Sensitivity labels that encrypt or restrict content also constrain what an assistant can surface, which makes classification a control rather than paperwork.
Phase the rollout
- Start with a small group that has clean data and a concrete use case.
- Publish guidance on what may and may not be put into prompts.
- Review the first month's usage for anything that should never have been reachable.
Expect culture change
The productivity gain is real but uneven. Meeting summarisation and drafting tend to land immediately; deeper workflow changes take a quarter or more.
