Most automated meeting notes fail for a simple reason: they summarise the conversation instead of recording what the meeting decided.
Design the output first
Decide the shape of the note before building anything. A format that works:
- Decisions. One line each, stated as a decision rather than a discussion.
- Action items. Task, owner, due date. Owner and date are mandatory — an action item without them is a wish.
- Open questions. What remains unresolved and who is chasing it.
- Context. A short paragraph, placed last, for people who were not there.
Transcribe with speaker labels
Speaker separation is what makes action item extraction work. Without it, the model cannot tell who committed to what. Verify that your tool labels speakers correctly on calls with similar voices before trusting the output.
Extract with a strict prompt
Instruct the model to include only items explicitly stated, and to write "none recorded" rather than inferring. Ask it to quote the sentence behind each action item as supporting evidence.
Distribute within the hour
Notes that arrive the next day get ignored. Trigger the pipeline automatically at meeting end and send to attendees plus anyone assigned an action.
Close the loop
Review the previous meeting's action items at the start of the next one. This is what turns a notes archive into accountability, and it costs nothing technically.
